Read Before You Book

BOOKING TERMS

To secure your spot on any of our trips, we require a non-refundable deposit upon booking. This deposit is used to cover initial trip expenses, including but not limited to guides if applicable, accommodations, vendors, and other logistical costs, many of which are non-refundable to us. Full payment will be due according to the individual trip payment schedule, which varies from trip to trip. Specific dates for final payment will be communicated upon booking.

Client Cancellations

We understand that life happens—plans shift, calendars change, and emergencies arise. That said, due to the nature of our trips, we are unable to offer refunds for any reason.

We strongly encourage all participants to purchase comprehensive travel insurance, including Cancel For Any Reason (CFAR) coverage, at the time of booking. This is your best protection in case something prevents you from joining us.

If you do have to cancel due to an emergency, your paid invoice can be submitted to your travel insurance provider for potential reimbursement. We are happy to provide documentation to support your claim.

Why this policy exists:

The Adventurista Collective is not a public tour company. It’s a private, peer-to-peer travel community. Our trips are small, invite-only, and carefully curated, with guest lists designed to good group dynamics.

When you book, you’re holding a spot in a planned, limited-capacity trip. We do not fill spots through public waitlists or public marketing blasts, so cancellations often mean an empty seat that cannot be filled. This impacts the group dynamic, logistics, and overall cost distribution.

We also operate with limited staff to keep our overhead low and our pricing accessible. That means we cannot accommodate refunds or last-minute rebookings.

If you must cancel and we’re able to fill your spot from our internal waitlist (if applicable, and absolutely NOT guaranteed), we’ll do our best to apply your deposit to a future trip—but this is not guaranteed.

Wildlife Sightings Disclaimer

While we work hard to schedule trips at optimal times and locations, and with experienced guides when applicable, wildlife sightings cannot be guaranteed. Whether you are joining us on a safari, wildlife viewing expedition, whale watching adventure, or any other animal related trip, we do our best to plan for locations and times of year that maximize our chances of encountering wildlife. However, nature is unpredictable, and no refunds will be issued if the targeted animals are not sighted. We appreciate your understanding and flexibility as we work to create an enriching, nature-filled experience.

Obligations and Recommendations of Adventurista Collective, LLC

Adventurista Collective, LLC directs your attention to the terms and conditions of your trip as outlined on the Adventurista Collective website and trip details page. These terms will apply to you along with the specific conditions outlined here.

Health and Fitness Assessment
Adventurista Collective strongly recommends that you consult with a medical professional to ensure you are physically capable of undertaking the trip you’ve booked. Adventurista Collective is not responsible for making any health assessments, and participation in certain activities may require specific physical abilities.

Travel Insurance
Adventurista Collective highly recommends that you purchase comprehensive travel insurance. This should include coverage for trip cancellation (including reasons related to COVID-19), trip interruption, and coverage for property loss or damage. Travel insurance will provide peace of mind and financial protection in case of unexpected changes or emergencies.

Government Travel Advisories
Adventurista Collective advises that you check the relevant government travel advisories for your destination, including any other locations on the route to your destination. This is especially important for international trips or travel to areas with specific health or safety concerns.

Right to Refuse Participation
Adventurista Collective reserves the right, in its absolute discretion, to refuse or interrupt your participation in any trip if it is determined that your continued involvement could cause harm to yourself or others participating in the trip. If you are stopped from participating in a trip for any reason, you will not be entitled to a refund. Additionally, any costs associated with your departure from or evacuation during the trip will be your responsibility.

Obligations & Acknowledgements of Client

Review and Verification of Trip Details
Client must review and verify all details set out on the booking, including itineraries and invoices, upon receipt from Adventurista Collective, LLC. Client must immediately notify Adventurista Collective of any errors or omissions.

Acknowledgment of Terms and Conditions
Client acknowledges that they have been directed by Adventurista Collective to review these Terms and the specific details, terms, and conditions of the trip.

Medical & Health Assessment
Client acknowledges the possibility of being required by the supplier of a trip to sign additional documents, including medical questionnaires, waivers of rights, and additional terms and conditions. Client may also be requested to provide additional information, including updated medical questionnaires, prior to departure.

Client is responsible for ensuring that they are medically fit for travel and participation in the trip. Adventurista Collective strongly recommends that Client consult with a medical professional to assess their fitness for travel. Participation in certain activities may require specific physical or mental fitness levels. Adventurista Collective is not responsible for assessing Client's health or suitability for the trip.

Compliance with Trip Supplier Rules and Requirements
Client is responsible for complying with all customs, rules, and procedures of the trip suppliers. Failure to comply with these rules may result in Client being refused participation in the trip. No credit or refund will be provided in such circumstances.

Insurance Requirements
Client acknowledges that for all trips, they must purchase medical travel insurance with a minimum of $200,000 USD evacuation and repatriation coverage, including personal injury and all forms of medical expenses. Some trips may have higher minimum medical coverage requirements, which will be outlined on the Adventurista Collective website trip page. Proof of insurance coverage is required.

Adventurista Collective strongly recommends that Client also purchase travel insurance covering trip cancellation (including COVID-19), trip interruption (including COVID-19), and property damage or loss. Client acknowledges that some countries may refuse entry if Client does not have proof of travel insurance.

Travel Documentation
Client is responsible for ensuring possession of all necessary travel documentation, including a passport valid for at least six months beyond the expected return date, visas, parental consent for traveling with minors, and any other required documents for the destination(s). Client acknowledges that, even with the required documentation, they may be refused entry into another country at either the point of departure or arrival.

Destination Standards and Conditions
Client acknowledges that the destination(s) may have living standards and practices, including the provision of utilities, services, and accommodation, which differ from those at home.

Special Requirements
Client must notify Adventurista Collective of any special requirements regarding travel arrangements, such as the type of accommodation or dietary needs, at the time of booking. While Adventurista Collective will notify the trip suppliers of such requests, any additional costs will be the responsibility of Client. Adventurista Collective is not responsible for failure by the trip suppliers to meet these requests.

Physical and Mental Fitness for Participation
Client acknowledges that many trips take place in remote areas with limited access to medical care. Some trips may not be suitable for all individuals based on physical or mental requirements for participation. Client is responsible for assessing whether a trip is suitable for them and for consulting a medical professional to confirm their fitness for travel and participation.

Alcohol and Substance Use
Client acknowledges that alcohol consumption is trip-specific and will depend on factors such as location, accommodation types, local supplier policies, and activities. Alcohol is only permitted at fixed-roof accommodations or dining at licensed establishments.

Client acknowledges that they may not participate in outdoor activities while under the influence of alcohol or any other intoxicants. If a guide determines that Client is not in appropriate condition to participate, the guide has the absolute right to prevent participation, without refund.

Illegal Substances
Client acknowledges that the use of illegal substances is prohibited. Any use of illegal drugs or substances will result in removal from the trip. Client will not receive any refund if removed for this reason, and any associated costs (transportation, accommodation, meals, etc.) will be the responsibility of the Client.

Non-Smoking Environment
Adventurista Collective encourages a non-smoking environment during all trips. Client agrees not to smoke in the presence of other participants and will only do so in designated areas where permitted by local law.

Complaints
If Client has any complaints during the trip, they must report them to the trip leader or guide immediately to allow Adventurista Collective the best chance of addressing the issue. If the complaint is not satisfactorily addressed, Client must email Adventurista Collective at support@adventuristacollective.com for further assistance.

Adventurista Collective shall not be liable for any damage or loss suffered by Client due to failure to comply with any of the obligations in this section.

Price of Trip

Trip Price Details
All prices are for the trip only and do not include transportation to or from the trip rendezvous or drop-off points, unless otherwise noted.

Occupancy
Prices are based on shared occupancy, unless otherwise noterd. If Client is booking for a single occupancy, client must secure their own roommate. We use a double-opt in system. The guest list is viewable in the waitlist group.

Price Adjustments
Prices may change up to 90 days before the start date of the trip due to factors such as increased airfares, transportation costs, or local supplier fees. However, once Client has paid the full price, no changes to the trip price will occur.

Currency and Payment
For trips outside of the U.S., prices are in USD. For trips within the U.S., prices are in USD unless otherwise stated. Clients may choose their preferred currency for payment, but they will be responsible for any additional charges or fees, including those related to currency exchange or credit card processing.

Price Surcharges
Adventurista Collective reserves the right to impose surcharges up to 90 days before departure due to unfavorable changes in exchange rates, increases in transportation or accommodation costs, or if government action requires it. If a surcharge results in an increase of more than 7% of the trip price, Client may cancel the booking within 14 days of notification of the surcharge and receive a full refund.

Change or Cancellation by Trip Supplier

Trips are generally booked well in advance, and while most changes to the itinerary will be minor, there may be instances where significant adjustments are required. In rare cases, a trip may be canceled or postponed due to unforeseen circumstances.

Adventurista Collective's Right to Cancel

Adventurista Collective confirms that a trip is scheduled to depart once the minimum group size has been reached. However, we reserve the right to cancel any trip for any reason, although we will not typically cancel a trip less than 90 days before departure, except in cases of Force Majeure or other unusual circumstances outside our control.

Options if Adventurista Collective Cancels a Trip

If Adventurista Collective cancels a trip before the scheduled departure for reasons other than Force Majeure or client fault, the Client has the following options:

(i) Full Refund: Receive a full refund of the amount paid,

(ii) Transfer to Another Trip: Transfer to another available trip of equal or lower value,

(iii) Credit Toward Another Trip: Apply the amount paid as a credit toward a more expensive trip, with the Client responsible for paying any additional cost for the new trip. The credit may be used only for a trip scheduled within the same calendar year or the following year. This credit can be transferred to another participant, as long as they meet all requirements and pay any outstanding balances for the new trip. In cases where the credit is converted into another currency, the amount will be calculated at the exchange rate applicable on the original payment date.

Incidental Expenses

Adventurista Collective is not responsible for any incidental costs or consequential losses that the Client may incur due to the booking, including but not limited to visas, vaccinations, non-refundable flights or rail tickets, parking fees, loss of earnings, or any other expenses associated with the trip.

Alternative Arrangements After Departure

In the unlikely event that a significant portion of the trip cannot be provided once the Client has already departed, Adventurista Collective will make suitable alternative arrangements to ensure the trip can continue as seamlessly as possible.

Room Choice Within a Room Category

If there are variations within the same room category and price point—such as room size, bathroom size, layout, view, location, noise level, or other characteristics—the client who books first will have first choice of available rooms within the category. Adventurista Collective, LLC will make every effort to ensure the room type corresponds to the booking (e.g., twin-share room for twin-share bookings), but does not accommodate specific preferences such as a particular view, floor number, room location, or other room characteristics beyond the room category.

Photography & Video

Trip suppliers may have varying policies regarding the use of photos, video, and audio recordings of trip participants for promotional purposes. If Client does not wish for their image or likeness to be used, they must inform Adventurista Collective in writing.

Throughout the trip, photos, video, and audio recordings may be captured and shared by both participants and guides. By participating, Client grants Adventurista Collective a perpetual, royalty-free, worldwide, irrevocable license to use any images, recordings, or social media posts created during the trip for any purpose, including promotional use on the Adventurista Collective website and social media platforms, unless the Client explicitly notifies Adventurista Collective in writing that they do not consent.

Indemnification by Client

Client agrees to defend, indemnify, and hold Adventurista Collective, LLC harmless, at Client’s sole expense, from and against all claims, demands, suits, losses, costs, damages, and expenses that Adventurista Collective may sustain or incur due to:

(a) any breach of these Terms by Client;

(b) any statement made by Client that contradicts any of these Terms or the terms and conditions of any trip supplier;

(c) any claim, demand, or suit made by any trip supplier for damages caused by Client;

(d) any claim, demand, or suit made by Client;

(e) any claim made by a credit card company or third-party related to the booking, including chargebacks requested by Client or a credit card issuer.

Client’s obligations under this section will continue even after the completion of the trip.

Changes to These Terms

Adventurista Collective, LLC may modify these Terms at any time, and all changes will be binding on Client from the moment the change is communicated to them.

Adventurista Collective's Responsibility

Adventurista Collective arranges trips with independent third-party suppliers, including hotels, transportation companies, tour operators, baggage handlers, and other service providers, to fulfill the trip purchased by Client. While we exercise care in selecting these suppliers based on their reputation and reliability, we do not control their operations and cannot be held responsible for their performance or lack thereof.

Adventurista Collective is not responsible for any injury, loss, or damage—whether physical, emotional, or mental—that results from any error, omission, or negligence of the suppliers or their agents, employees, or subcontractors.

We are also not liable for any consequential or special damages that may occur due to Client’s inability to attend an event or excursion, regardless of whether the event is part of the trip package.

Client acknowledges that Adventurista Collective will not be held accountable for failing to purchase travel insurance.

Limitation of Liability

The total liability of Adventurista Collective for any loss, damage, or injury—whether to property, or physical or mental injury—arising from our actions, omissions, or negligence is limited to the amount paid directly to Adventurista Collective by Client for the trip, in relation to which any claim is made.

Force Majeure

Adventurista Collective will not be liable for any failure or delay in fulfilling our obligations if such delay is caused by circumstances beyond our control, including, but not limited to, natural disasters, extreme weather, war, civil unrest, labor strikes, terrorism, epidemic or pandemic, governmental restrictions, or loss of necessary utilities and communications. In these circumstances, Adventurista Collective will not be obligated to refund any amounts paid by Client.

Client understands that Adventurista Collective forwards funds to third-party suppliers on behalf of the Client, and once those funds are paid, they may not be recovered or refunded.

In the event of force majeure, the total liability of Adventurista Collective will be limited to the amounts paid directly by Client to Adventurista Collective, and we will not be liable for any consequential or indirect damages or legal costs incurred by any party.

General Provisions

Notice
Any notices or communications between Client and Adventurista Collective shall be sent via email and will be deemed effective upon acknowledgment by the receiving party.

Partial Validity
If any provision of these Terms is found to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions will continue to be in full effect.

Modification
These Terms can be modified by Adventurista Collective at any time.

Law Governing Terms
These Terms will be governed by and construed in accordance with the laws of the State of California.

Forum for Disputes
Any disputes, controversies, or claims arising out of or related to these Terms or a trip shall be resolved exclusively in the courts of California.

Successors and Assigns
These Terms are binding upon Adventurista Collective, LLC and the Client, as well as their heirs, successors, administrators, and assigns.

Complete Understanding
These Terms represent the full and complete understanding between Adventurista Collective and Client regarding the trip booking, excluding any prior representations not included here.

Waiver
No waiver of any provision of these Terms shall be deemed a waiver of any other provision, whether similar or not. No waiver shall be considered a continuing waiver.

Please note: Nikki is not a certified professional outdoor guide. All activities, whether on land, water, or air are undertaken solely at the participants own risk.

Participants are responsible for ensuring they are in adequate physical condition and have the appropriate experience to safely complete any mileage, elevation gain, or activity intensity involved. Each participant must be properly prepared with appropriate gear, sufficient hydration and nutrition, and full knowledge of the route or activity details as provided (e.g., via AllTrails or other resources).

Weather conditions may change rapidly, and participants must use their own judgment to decide whether to proceed with any suggested activity. By joining this trip, you acknowledge personal responsibility for your own safety, pacing, route-finding, and decision-making throughout the experience.

Adventuristas trips are community-driven experiences that prioritize connection, empowerment, and adventure. While routes, options, and inspiration will be shared, every participant is ultimately responsible for choosing what they feel comfortable doing. There is no pressure to complete any activity that exceeds your personal limits or comfort zone.
